Your new role
ACHA is seeking a Facilities Management Administrator (FMA) to support facilities operations within a hospital environment in Adelaide.
This is a site-based operational support role working closely with Facilities Managers, contractors, and client stakeholders to coordinate reactive maintenance, planned maintenance (PPMs), compliance activities, and contractor management across a high-profile hospital portfolio.
This role is ideal for someone who enjoys working in an operational environment, managing multiple priorities, coordinating contractors, and supporting service delivery outcomes within a highly structured and compliance-driven setting.
About the role
The Facilities Management Administrator plays a critical role supporting the onsite facilities team by:
- managing work orders within Urbanise, (training available)
- coordinating contractors and maintenance activities,
- supporting compliance and documentation processes,
- and ensuring operational requests are actioned within KPI timeframes.
The role acts as a key communication point between the Facilities Manager, client stakeholders, and service providers onsite.
Key Responsibilities
- Coordinate reactive and planned maintenance activities (PPMs)
- Manage work orders and contractor follow-ups through Urbanise
- Monitor contractor attendance and KPI performance
- Support compliance activities including statutory maintenance and ESM documentation
- Coordinate contractor access, permits, and operational requirements
- Maintain accurate records, reports, and operational documentation
- Liaise with contractors, client stakeholders, and internal operational teams
- Support operational escalations and urgent maintenance requests
- Provide high-level customer service within a live client environment
To be successful
You are organised, proactive, and comfortable working within operational environments where communication, follow-through, and attention to detail are essential.
Key skillsets include:
- Experience in facilities management, maintenance coordination, property services, or operational administration
- Strong organisational and time management skills
- Experience coordinating contractors and service requests
- Ability to work under pressure and manage competing priorities
- Strong communication and stakeholder management skills
- Experience using systems such as Urbanise, CMMS, or similar work order platforms
- A proactive and solution-focused mindset
